Blog Summary

In this blog, you will learn the foundation of record-to-report life cycle. The process begins with the foundational setup of master data and extends through daily transaction processing, period end closing, and final reporting.

A central concept in SAP S/4 HANA is the Universal Journal (table ACDOCA), which unifies subledgers (Accounts Payable, Accounts Receivable, Fixed Assets) and the General Ledger into a single data table. This integration significantly simplifies reconciliation. Subledger transaction details can be viewed directly through GL reporting functionalities. Therefore, deviations between subledger and GL balances are technically impossible with the correct setup.

Key master data components

General Ledger accounts, Chart of Accounts, and Financial Statement Versions, form the structural backbone for all financial transactions. Notably, SAP S/4 HANA merges cost element master data into GL master data, streamlining management accounting integration.

Document posting

Document posting functionalities accommodate various operational needs, including standard journal entries, preliminary parking or holding of incomplete documents, and automated recurring entries. The system also supports efficient document creation through referencing existing documents and provides robust clearing functions for managing open items. Reversal and resetting capabilities are available for both standard and clearing documents to correct errors.

Bank accounting

Bank accounting is tightly integrated, managing both internal (house bank) and external (business partner) bank data. The system supports both manual and electronic bank statement processing for reconciliation, utilizing main bank accounts and dedicated bank clearing accounts to ensure accuracy.

Period-end closing process

The period-end closing process is a critical, multi-step procedure that includes opening and closing posting periods, subledger reconciliation, foreign currency valuation, GR/IR (Goods Receipt/Invoice Receipt) clearing, and executing the balance carryforward to a new fiscal year.

Finally, SAP S/4 HANA offers a suite of powerful reporting tools for analysis. These include standard reports such as the financial statement, trial balance, and document journals. The system provides these reports through both the traditional SAP GUI and modern SAP Fiori apps, which often deliver enhanced usability, easier navigation, improved data visualization, and more flexible filtering capabilities.

The Record-to-Report Process

The record-to-report process is the end-to-end financial and accounting management framework, that ensures all business transactions are completely and accurately recorded, reconciled, and ultimately reported. It encompasses subledger closing, reconciliation, journal entry processing, and financial reporting.

Subledger Closing

A subledger contains detailed transaction information for a specific area, such as Accounts Receivable (AR), Accounts Payable (AP), Fixed Assets, and Materials Management. Historically, transactions were rolled up aggregately into the GL. In SAP S/4 HANA, the integration is real time via the Universal Journal (table ACDOCA), allowing GL reporting to display subledger transaction details directly.

Before closing, all subledger transactions must be recorded. This involves clearing specific accounts (e.g., fixed assets, bank, GR/IR) and performing valuation runs (e.g., foreign currency, inventory, depreciation). After these activities, subledger periods are closed, enabling reconciliation with the GL.

Reconciliations

Reconciliation accounts are control accounts in the General Ledger that link to subledgers. When a subledger master record (e.g., for a vendor or customer) is created, a reconciliation account must be assigned. Every posting to a subledger account automatically updates the corresponding reconciliation account in the GL by the same amount.

  • Technical Integration: Due to this real-time integration, it is technically impossible for the balance of a GL reconciliation account to deviate from the sum of its corresponding subledger items, assuming proper system configuration.
  • Configuration: A reconciliation account is created like other GL accounts (Transaction FS00) but with specific attributes, such as selecting “Recon.account AP/AR” in the Account Group and specifying the account type (e.g., “Vendors”) in the Control Data tab.
  • Reconciliation Reports: Despite the technical integration, accountants can use various reconciliation reports to compare accumulated subledger values against GL reconciliation account balances for verification.

Record and Adjust

After subledgers are reconciled and closed for a period, manual GL document entries and adjustments can be posted. These are typically for processes not fully automated, such as:

  • Entries from external systems (e.g., payroll).
  • Posting of provisions, reserves, and accruals.
  • Manual valuation adjustments for inventory or other assets.

Once all manual and subledger postings are complete, financial accounting for the period is considered finalized, and the period can be formally closed.

Period Control

Period control is the procedure for managing which posting periods are open or closed for transactions. Fiscal year variants define the available posting periods. Typically, only the current period is open for posting to maintain control. This is managed via Transaction FAGL_EHP4_T001B_COFI.

Reporting and Analysis

SAP S/4HANA provides comprehensive reporting capabilities through both SAP GUI and SAP Fiori apps. Fiori apps are noted for their improved usability, with filters and results often displayed on the same screen and enhanced drag-and-drop functionality.

General Ledger Master Data

Master data is foundational information that remains stable over time and is used repeatedly in business processes. For the General Ledger, the key master data types are G/L accounts, the chart of accounts, and financial statement versions.

Master Data Structure

  • SAP GUI Access: GL account master data is accessed via the user menu (Accounting > Financial Accounting > General Ledger > Account > Master Records).
  • SAP Fiori App: The Manage G/L Account Master Data (F0731) app provides a modern interface for creating, searching, and changing GL accounts.

General Ledger Accounts

A GL account is the core element where all financial transactions are recorded via debit and credit entries. A key feature in SAP S/4HANA is the merger of cost element master data with GL master data, making cost element definition part of the GL account maintenance (Transaction FS00).

There are four main types of GL accounts:

  1. Balance Sheet Account: Used for assets, liabilities, and equities.
  2. Nonoperating Expense and Income: For expenses/income not directly tied to sales.
  3. Primary Costs or Revenue: For costs (e.g., materials, personnel) and revenues originating from external transactions.
  4. Secondary Costs: For internal cost allocations and overhead, stemming from management accounting activities.

Account Groups classify GL accounts and control their usage. For example, reconciliation accounts cannot be posted to manually; postings are triggered automatically from subledger transactions. The account group also determines the field status for master data maintenance (Transaction OBD4), defining which fields are suppressed, displayed, required, or optional.

Chart of Accounts

The chart of accounts (COA) is a structured list of all GL accounts used by a company or group of companies. Financial reporting is based on the transactions and balances within these accounts.

SAP S/4 HANA utilizes three types of COAs:

  1. Operating Chart of Accounts: Assigned to a company code for daily postings in both financial accounting and controlling.
  2. Group Chart of Accounts: Contains a common set of GL accounts used across an entire corporate group for consolidation purposes.
  3. Country-Specific Chart of Accounts: Used to meet local legal and tax reporting requirements for companies operating in multiple countries.

The SAP Fiori app Manage Chart of Accounts (F0763A) facilitates the management of these structures.

Financial Statement Versions

A financial statement version is a hierarchical structure that organizes and groups GL accounts to generate financial statements like the Balance Sheet and P&L Statement. Multiple versions can be defined to produce reports in different formats as required by organizational or statutory needs. This is a configuration task managed via transaction OB58 or the corresponding Fiori app, Maintain Financial Statement Versions.

General Ledger Document Posting

Manual postings to the General Ledger create journal entries for transactions that are not supported by automated functions or subledgers, such as accruals or provisions.

Journal Document Entry

A journal entry consists of a header (company code, dates, currency) and line items (accounts, debit/credit amounts, cost objects).

  • SAP GUI: Transaction FB50 (Enter G/L Account Document).
  • SAP Fiori App: Post General Journal Entries (F0718). The system validates that debits equal credits and that all required fields are complete before posting.

Post, Park, and Hold Functions

These features provide flexibility when entering documents:

  • Post: The standard function that creates a completed GL document, generates a document number, and updates account balances.
  • Park (Transaction FV50): Temporarily saves an incomplete document without updating account balances. It does not receive a final document number but can be used for reporting (e.g., tax calculations). Parked documents require further changes, verification, or approval before posting. The Fiori app is Park General Journal Entries (FV50).
  • Hold (Transaction FB50): Temporarily saves data for a document in progress, often when the user is interrupted or lacks information. It does not perform system checks for data completeness and does not assign a document number. The Fiori app for this function is Post General Journal Entries (F0718).

Special Posting Types

  • Recurring Documents (Transaction FBD1): Used for periodic transactions like rent or insurance. An initial recurring entry document is created containing all necessary data and a run schedule (e.g., first run, last run, interval). This document acts as a template and does not update financial figures itself. The Manage Recurring Journal Entries (F1598) Fiori app combines creation, change, and display functions.
  • Post with References (Transaction FB50): Creates a new document by copying data from an existing document, speeding up data entry. Flow control indicators allow for modifications, such as entering new amounts (Do Not Propose Amounts) or generating an inverse posting to reverse the original.
  • Post with Clearing (Transaction F-04): Used to clear open items on GL accounts. The user enters a GL line item and then selects the corresponding open items to be cleared. The system generates a clearing document, changing the status of the items from “Open” to “Cleared”. The Fiori app Clear G/L Accounts (F1579) provides a more user-friendly interface for this process.

Document Reversal and Resetting

This function is used to correct errors in posted documents, such as incorrect amounts, dates, or currencies. The approach differs for standard (non-clearing) and clearing documents.

Reversing Non-clearing Documents

  • Individual Reversal (Transaction FB08): Reverses a single document. The user must provide the document number, company code, fiscal year, and a reversal reason (e.g., wrong posting, wrong period).
  • Mass Reversal (Transaction F.80): Reverses multiple documents at once by specifying a range of document numbers. A test run can be performed before execution.
  • SAP Fiori App: Manage Journal Entries (F0717) allows users to search for a journal entry, select it, and initiate the reversal process.

Reversing Clearing Documents

Reversing a clearing document is a two-step process managed via Transaction FBRA (Reset Cleared Items). When initiated, the system presents three options:

  1. Only Resetting: This reverses only the clearing information, changing the status of the involved items back to “Open.” The original clearing document also becomes an open item. This is used when an incorrect item was cleared.
  2. Resetting and Reverse: This not only resets the clearing status but also reverses the original clearing document itself by posting an inverse document.
  3. The third option is not detailed in the source.

The SAP Fiori app Reset Cleared Items exists in two versions: FBRA (identical to the GUI transaction) and F2223 (visually different but functionally similar).

Bank Accounting

Bank accounting manages all transactions related to bank account movements, including payments, balances, and master data.

Bank Master Data

  • Business Partner Banks: Bank accounts belonging to external parties like customers and vendors, linked to their respective master records.
  • House Banks: The banks with which the company itself holds accounts to perform transactions. Each house bank account is linked to a specific GL account.
  • Management: Bank master records are created (Transaction FI01) and then assigned either to a business partner master record or defined as a house bank (Transaction FI12_HBANK). The Manage Banks (F1574) Fiori app centralizes the management of both house banks and business partner banks.

General Ledger Integration

Each house bank account is represented by one main GL account. For reconciliation purposes, bank clearing accounts are also used. These clearing accounts hold transactions posted in financial accounting that have not yet been matched with a transaction on an incoming bank statement, effectively managing these items as open items until they are cleared.

Bank Reconciliation

This process matches transactions on bank statements with transactions posted in the GL bank clearing accounts.

  • Electronic Bank Statement (EBS): An automated process where the bank provides a statement in a standard electronic format (e.g., SWIFT, MT940, BAI). This file is uploaded into SAP S/4HANA (Transaction FF_5), and the system attempts to automatically match and clear items. Any items that cannot be cleared automatically must be handled through postprocessing (Transaction FEBA_BANK_STATEMENT).
  • Manual Bank Statement (MBS): A manual process (Transaction FF67) used when an electronic format is not available or for accounts with low transaction volume. The user manually enters the bank statement details, including opening/closing balances and individual transaction items, which are then posted. The Fiori app for this is Manage Bank Statements (F1564).

Period-End Closing Activities

The financial closing cycle is a critical period for ensuring the accuracy and completeness of financial records.

Opening and Closing Posting Periods

This control mechanism (Transaction FAGL_EHP4_T001B_COFI) allows administrators to define which account types are open for posting in which periods and for which company codes. The corresponding Fiori app is Manage Posting Periods (F2293).

Subledger Reconciliation

This involves comparing the balances of GL reconciliation accounts with the sum of their corresponding subledger balances. The process involves:

  1. Generating reports for both GL balances (e.g., Trial Balance, Financial Statement) and subledger balances (e.g., Customer Balances report).
  2. Comparing the totals to identify any discrepancies.
  3. Investigating the root cause of differences (e.g., manual GL postings not reflected in the subledger, data entry errors).
  4. Making necessary adjustments to reconcile the balances.

Foreign Currency Valuation

This process (Transaction FAGL_FCV) revalues open items and GL account balances that are maintained in foreign currencies. The valuation is performed as of a specific key date (e.g., month-end) using current exchange rates, and the system posts the resulting unrealized gains or losses.

Goods Receipt/Invoice Receipt (GR/IR) Clearing

The GR/IR clearing account is a provision account used to record goods received that have not yet been invoiced, and invoices received for goods that have not yet arrived.

  • Process: The GR/IR clearing function (Transaction F.19) analyzes the account at a key date.
  • Adjustment Postings: It identifies purchase orders with a mismatch between goods receipts and invoice receipts and creates adjustment postings to correctly reflect “goods delivered but not invoiced” as a liability and “goods invoiced but not delivered” as an asset on the balance sheet.
  • Reversal: These adjustment postings are temporary and are automatically reversed at the beginning of the next period.
  • SAP Fiori App: Repost GR/IR Clearing (F.19).

Balance Carryforward

This is the final closing step, which transfers account balances to the new fiscal year (Transaction FAGLGVTR).

  • Balance Sheet Accounts: Closing balances are carried forward as the opening balances for the same accounts in the new fiscal year.
  • P&L (Income Statement) Accounts: Balances are summarized and transferred to the designated Retained Earnings account. The opening balance for all P&L accounts in the new fiscal year is zero.
